Hamba practical reading · Drivers, dispatchers and small fleet owners
Capture the whole relevant document clearly, check that it belongs to the job and confirm that the evidence reached the intended workflow. A readable photo can save a return visit or another call, but the office must still assess the customer’s requirements.
By the time a blurred POD is discovered, the truck may be heading to its next collection. A brief check at delivery is easier than reconstructing what happened later. Take the time only when safely parked and the site permits the photograph.
Before taking the image
Confirm which document and pages dispatch needs. Check that the delivery reference and actual acknowledgement are present. If the site uses its own process, ask the appropriate contact rather than assuming a stamp or signature can be added by anyone nearby.
- Use enough light and avoid glare across text.
- Keep the page steady and include its edges.
- Check important references, dates and acknowledgement details.
- Capture every required page.
- Keep written exceptions visible.
- Avoid including unrelated people or personal records.
Read your own image before leaving
Zoom in enough to see whether the office will be able to read it. If the reference is blurred or the second page is missing, correct that while it is practical. Do not edit a signature, erase a shortage or crop out a note because it complicates the handover.
For an illustrative shortage, the recipient may acknowledge nine items against ten expected. Tell dispatch and capture the actual record. It is the responsible parties’ job to assess the discrepancy, not the driver’s job to make the document appear clean.
Check the submission, not just the photograph
Hamba supports evidence capture for assigned jobs. Use the result shown by the current portal and tell dispatch if submission is unclear or fails. A photo still on the phone should not be described as received by the office. Do not assume offline submission or automatic later upload unless the current product explicitly confirms it.
Agree a safe fallback if connectivity prevents the required handover. Keep original evidence according to the applicable company process; do not delete it merely because a preview appeared.
The evidence finishes a real movement
Free LX helps introduce suitable large-truck B2B work. KITE supports the job’s execution and evidence record, with Hamba giving the assigned driver a browser route. Neither a platform nor a photo guarantees invoice approval or payment.
Practical questions
Should a driver crop out a damage or shortage note?
No. Preserve the actual acknowledgement and report the exception to dispatch. Evidence should describe what happened, including material qualifications.
Does taking a photo mean the office received the POD?
No. Check the submission result and tell dispatch if receipt is unclear. A local photo and a received job record are different states.
