KITE practical reading · Owners, dispatchers and freight coordinators
A useful proof of delivery identifies the movement, can be read and records what the recipient actually acknowledged. Before invoicing, compare it with the agreed evidence requirements. A photograph uploaded successfully is not the same as a complete or accepted invoice pack.
A small operator may finish the physical job and still spend the next morning looking for a missing second page. The customer may need a delivery reference that nobody asked the driver to capture. Begin the evidence conversation at dispatch, while there is still time to explain it.
Define the evidence the customer expects
Confirm the delivery document, required references, quantity or condition acknowledgement and authorised recipient process. Requirements vary by customer and cargo. Do not assume every site uses a stamp or that a signature proves every commercial condition has been met.
- Match the document to the job and delivery site.
- Check that all required pages and edges are visible.
- Read dates, references and acknowledgements at normal screen size.
- Keep any recorded shortage, damage or refusal visible.
- Check supporting tickets or release records required by the agreed scope.
Handle exceptions without rewriting the event
For an illustrative delivery of 20 pallets, the recipient records that 19 were received. Do not describe this as an unqualified complete delivery. Tell dispatch, preserve the acknowledgement and ask the responsible parties to resolve the discrepancy. Keep any later clarification alongside the original evidence.
If a photograph is blurred, ask for a better copy when it is safe and still possible. Do not reconstruct signatures, crop out an exception or change a date to make the pack look complete. An honest gap is easier to investigate than a misleading record.
Keep the office handover attached to the job
KITE brings proof of delivery and other evidence into the execution record. Drivers can capture evidence through free Hamba for their assigned jobs. The office still needs to review completeness and follow the customer’s submission requirements; evidence custody is not a promise of invoice approval.
A compact handover might say: “Delivery evidence received; two pages readable; recipient noted one pallet short; customer clarification pending with dispatch.” That tells administration whether the pack is ready and who owns the unresolved point.
Finding the next load should not erase the last job
Free LX helps the truck find suitable large-truck B2B work. Set aside time to close the previous movement before its paperwork disappears into another conversation. Keep the invoice, evidence and payment follow-up distinct: delivery does not automatically mean the invoice has been received or paid.
Practical questions
Does a POD guarantee that a customer will pay?
No. POD supports the delivery record, while invoice requirements, commercial terms and payment remain matters between the contracting parties.
What if the recipient records a shortage?
Preserve the actual acknowledgement, tell dispatch and keep the discrepancy visible for the responsible parties to resolve. Do not alter evidence to present an exception as a clean delivery.
